Privacy policy

This policy explains how Eatomatic collects, uses and shares personal information when you use our restaurant operating system, our websites, and related apps — including the guest QR menu, waiter panel, kitchen screen, manager desk, franchise HQ and SpiceBot.

Who we are

Eatomatic is an India-first restaurant operating system. We provide cloud software that restaurants subscribe to, and we run live dining: QR ordering, kitchen tickets, payments, staff tools, SpiceBot and payouts.

Who this covers

This policy applies to three kinds of people, because the product does.

  • Restaurant operators — owners, managers and brand HQ who open an account.
  • Staff — waiters, cashiers, hosts, captains and kitchen staff who log in to a role app.
  • Guests — diners who scan a table QR, order, pay, review or earn loyalty points. We process guest information on behalf of the restaurant they are dining at, and as needed to run payments and the platform.

What we collect

We collect only what the product needs to run a shift and to bill for the software.

  • Account and outlet: name, phone, email, restaurant name, address, hours, order types, tax settings.
  • KYC for payouts: Aadhaar and PAN are required to operate. FSSAI and GSTIN may be provided. Bank details (account holder, account number, IFSC, business name, business PAN) for Razorpay linked accounts.
  • Staff: name, phone, role (waiter, cashier, host, captain, kitchen), attendance, tips and activity logs tied to an open day.
  • Guest and orders: table, menu selections, add-ons, amounts, GST lines, payment method (UPI, card, cash), optional OTP login, service requests (waiter, water, bill, tissue, clean table), reviews and loyalty points.
  • Operations: live orders, kitchen tickets, table status, menu, stock and wastage, CRM notes, support tickets, broadcasts.
  • Technical: device and browser data, IP address, logs, and cookies needed to keep you signed in and to keep the site working.

How we use it

We use personal information to:

  • Run the restaurant: QR menu, orders, kitchen display, waiter alerts, billing, stock, attendance and table actions.
  • Take and split payments, issue GST-ready bills, and pay out the restaurant's share.
  • Provide SpiceBot: morning briefings, menu chat, review reading, reports and related AI features described in the product.
  • Support you: tickets from the manager panel, and a call or message when something cannot wait.
  • Secure the service, prevent fraud and abuse, and meet law (including tax and KYC).
  • Improve the product using aggregated or de-identified usage, not by selling guest lists.

SpiceBot and AI

SpiceBot reads the same live restaurant the floor and kitchen are running — orders, sales, reviews, kitchen load and the menu — so it can brief a manager, help a guest pick a dish, estimate wait, and write reports.

Guest menu chat is limited to that restaurant's menu and order context. Manager chat is limited to that restaurant's data. We use Google Gemini models to generate those answers. Do not put secrets into SpiceBot that you would not put in the rest of the system.

A restaurant can have AI features limited by plan. The platform may pause AI globally if needed for safety or operations.

Payments and KYC

Digital payments are processed by Razorpay (primary, India) and, where relevant, Stripe for overseas cards. Those providers receive what they need to complete the charge, split payouts and hold a linked account.

We do not store full card numbers on Eatomatic servers. Cash orders are recorded in the system; platform fees on cash may be recovered from later digital payouts, as shown in the product.

KYC documents are used to verify the restaurant for payouts and as required by payment partners and law. We do not use Aadhaar or PAN for marketing.

Who we share with

We do not sell personal information. We share it only as needed to run Eatomatic:

  • The restaurant you work for or dine at — they see the orders, staff and guests that belong to their outlet (or brand, on franchise HQ).
  • Payment partners (Razorpay, Stripe) and banks for charges and payouts.
  • Infrastructure and AI processors that host or generate product features, under contract.
  • Law enforcement or regulators when the law requires it.
  • A buyer or successor if Eatomatic is transferred, with the same duties to you.

How long we keep it

We keep account, order, tax and KYC records for as long as the restaurant uses Eatomatic and for a period after needed for tax, dispute and legal duties in India. Guest session and OTP data is short-lived where the product already expires it (for example a one-hour table OTP).

You may ask us to delete or correct information we control. Some records we must keep. Guest deletion requests that belong to a restaurant should go to that restaurant; we will help them as processor.

Your rights (India)

Under the Digital Personal Data Protection Act, 2023, you may have the right to access, correct and erase personal data, to withdraw consent where processing is based on consent, and to nominate another person in case of death or incapacity, as the Act allows.

Write to contact@madeiteasy.online. We will need enough to find your account or order. If you dine as a guest, the restaurant is often the right first stop — they hold the table and the bill.

Security

Access is by account and role. Staff see their job. Guests see their table session. We use encryption in transit, access controls and logging. No method of transmission is perfectly secure. Tell us at once if you think an account is compromised.

Cookies

The marketing site and the product use cookies or similar storage that are required to sign you in, remember a session, and keep pages working. We do not use them to sell advertising against your name.

Children

Eatomatic is built for restaurants and adult staff. We do not knowingly collect personal information from children to open an operator account. A guest who scans a table QR is using the restaurant's menu; parents should decide that use.

Changes

We will update this page when the product or the law changes. The date at the top is the current version. Continued use after a change means you accept the updated policy, except where the law requires a new consent.
